How to Brief a Biryani Caterer for a Moinabad Farmhouse Party

· 5 min read· by Moinabad Farmhouses Team

A biryani order for a farmhouse is not a restaurant order. Here is the exact brief to give the caterer so the food lands hot, on time, at the right gate.

Most biryani caterers are used to halls and homes inside Hyderabad. A farmhouse in Moinabad is a different delivery: a village road off the Chevella road, a gate with a caretaker, no serving staff unless you ask, and a group that wants to eat at a time that depends on how long they stayed in the pool. The brief you give has to cover all of that, not just "biryani for forty".

This post is the brief itself: what to tell the caterer, in what order, and what to confirm the day before. For choosing a caterer in the first place and comparing quotes, see hiring a caterer for a farmhouse party.

Start with the numbers that change the price

Give these four in your first message and the quote will be close to final:

  1. Headcount, split by veg and non-veg. Count kids separately; most caterers treat two children as one adult portion.
  2. Variety. Chicken, mutton or both, plus a veg biryani. One non-veg option plus veg is simpler and usually hotter on arrival than three varieties in three vessels.
  3. Serving time and place. "Lunch at 1:30 pm at a farmhouse in Moinabad, delivered by 1 pm" is a different job from "dinner at 9 pm". Say which.
  4. What else you want. Mirchi ka salan and raita are usually part of the deal; a starter, a dessert like double ka meetha or qubani ka meetha, and bottled water are extras to state up front.

Order for your confirmed guest count, not your invited count. Farmhouse groups shrink on the day, and leftover biryani in a hot village afternoon is a problem, not a bonus.

The delivery brief: this is where farmhouse orders go wrong

Caterers' drivers get lost in Moinabad for the same reasons guests do. Villages such as Aziz Nagar, Kanakamamidi, Surangal and Tolkatta have several farmhouses on the same stretch, and the gates often carry no name. Send the driver:

  • The exact location pin from your booking confirmation, not a search for the farmhouse name. Our note on checking the farmhouse location pin explains why the pin and the name sometimes point to different gates.
  • The caretaker's number, with the caretaker told to expect a vehicle at a given time.
  • One guest's number who will actually pick up the phone, not the organiser who is in the pool.
  • The route hint: "from the ORR take the Chevella road exit near Appa Junction" for a city-side caterer, or the Langar Houz and Himayat Sagar route if they are coming from the old city.

Ask the caterer to leave thirty minutes earlier than they think they need. Friday-evening traffic and long-weekend traffic on these routes can double travel time, and biryani that sits in a van for an hour in May is not the biryani you paid for.

Vessels, serving and who does the work

Be explicit about this, because "delivery" means different things to different caterers:

OptionWhat the caterer bringsWhat you handleBest for
Drop and goSealed vessels or foil traysServing, plates, cleanup, returning vesselsSmall groups, casual lunch
Drop with serving setupChafing dishes with fuel, serving spoons, disposable platesServing yourselves, cleanup20–40 guests, buffet on the lawn
Full serviceEverything above plus one or two servers who stayNothing except enjoying itFunctions, elders, 40+ guests

If the caterer's vessels have to go back, agree how and when. A caretaker can hold them for a pickup the next morning only if the farmhouse agrees, so ask on WhatsApp; otherwise foil trays that you can throw away are simpler for a day outing.

For a dum biryani made on site rather than delivered, the brief is different and the kitchen matters more; read cooking Hyderabadi dum biryani at the farmhouse for that version.

The small details that caterers appreciate

  • Spice level. Say if there are children or elders who need a milder pot; many caterers will keep one vessel less spicy if asked in advance.
  • Portion of rice to meat. Hyderabadi caterers have a default; if your group are big eaters, say "generous meat" and accept the price change.
  • Eggs on top, or not. Some families want boiled eggs on the chicken biryani, some find them a waste. Decide.
  • Jain or satvik guests. If a few guests do not eat onion and garlic, that is a separate small order, not a note on the big one.
  • Timing of the second batch. For a party running from afternoon into night, a single delivery means cold biryani at 9 pm. Ask whether a split delivery costs much more.

The day-before confirmation

Send one message that repeats everything, and ask for a yes:

Confirming for Saturday: 38 adults and 9 kids, chicken biryani for 30, veg biryani for 17, salan and raita, double ka meetha, chafing setup with disposable plates. Delivery by 1 pm at the pin shared, caretaker's number is attached, call Priya on arrival. Payment balance on delivery by UPI.

Then forward the same message to the caretaker, minus the money part, so the gate is opened without a phone chase. Keep a backup plan in your head for a late delivery: snacks that hold, fruit, and a second round of drinks. Delivery apps rarely reach the villages at mealtimes, so the caterer is the plan, not a backup.

Match the farmhouse to the catering

A catered biryani lunch for forty needs a shaded area for the buffet, a wash area near it, bins, and parking for a van at the gate. Lawn space is the main thing; farmhouses for large groups in Moinabad are sized for it, and farmhouses with a cook in Moinabad can handle the sides and the morning after even when the biryani comes from outside. Check the guest cap and the outside-food rule on the farmhouse page, pick your dates on the Moinabad farmhouse listings for live availability, and tell the farmhouse on WhatsApp that a caterer is coming so the caretaker is ready at the gate.

Frequently asked questions

Will a Hyderabad biryani caterer deliver to a farmhouse in Moinabad?

Most will for a reasonable order size, but confirm the delivery charge and timing up front and send the exact location pin and caretaker's number. Village roads can be confusing, so give a guest's phone number that will be answered.

How much biryani should we order per person for a farmhouse party?

Ask the caterer for their standard per-head portion and order for your confirmed headcount, counting two children as roughly one adult. Over-ordering is wasteful because leftovers spoil fast on a hot farmhouse afternoon.

Do farmhouses allow outside caterers?

Rules on outside food and caterers vary by farmhouse. Check the house rules on the farmhouse page or ask on WhatsApp before you confirm the caterer.

Should we get the biryani delivered or cooked at the farmhouse?

Delivery is simpler for a day outing and needs no kitchen. On-site dum cooking suits an overnight group with a cook or a confident home chef, and needs the farmhouse's kitchen rules checked first.
