Hiring a Caterer for a Farmhouse Party: Questions to Ask

· 5 min read· by Moinabad Farmhouses Team

Outdoor sit-out at NRM Orchard City, Surangal, Moinabad

A caterer can make or break a farmhouse party. The questions to ask before you hire one for an event at a Moinabad farmhouse, from kitchen access to clean-up.

Hiring a caterer for a farmhouse party in Moinabad comes down to two sets of questions: ones you ask the farmhouse host (is outside catering allowed, which kitchen and power can they use, when can they arrive) and ones you ask the caterer (can they reach the location, what do they bring, how do they handle staff, timings and clean-up). Ask both before you pay anyone an advance.

Use this as a checklist for birthdays, anniversaries, engagements, office parties and family get-togethers.

Start with the farmhouse, not the caterer

Every farmhouse has its own rules about outside vendors. Before you shortlist caterers, check the listing and ask the host on WhatsApp:

  • Is outside catering allowed, or does the farmhouse have its own meal packages?
  • Can the caterer use the kitchen, or should they cook outside on their own burners?
  • Is there a suitable spot for a buffet counter and a live station, away from the pool?
  • What time can vendors enter, and must they leave by a set time?
  • Is there power for warmers and lights, and is there backup during a cut?
  • Are there any rules about non-vegetarian food, gas cylinders or open flames?
  • Who handles leftover food and rubbish?

Get the answers in writing on WhatsApp, then share them with the caterer so nobody is surprised on the day.

Questions to ask the caterer

Location and logistics

  • Have you catered in Moinabad or on the Chevella road side before?
  • Do you have the exact pin, and will your vehicle manage the village road to the gate?
  • How early will you arrive, and how long do you need to set up?
  • Will you bring your own burners, gas, vessels, tables and chafing dishes?

Many farmhouses sit a few kilometres off the main road, and the roads can be narrow and dark at night. A caterer who knows the area, or does a quick recce, is worth a lot. Share our guide on reaching Moinabad from Hyderabad with their driver if they are new to the route.

Menu and quantities

  • How do you calculate quantities per guest, and what happens if more people turn up?
  • Can you do a tasting, or share photos of a recent similar event?
  • Which items will be cooked on site, and which come pre-cooked?
  • Can you handle separate vegetarian and non-vegetarian counters, Jain food or allergies?
  • Do you provide desserts, a live counter (dosa, chaat, barbecue) or welcome drinks?

Staff

  • How many servers will come for our head count?
  • Will they be in uniform, and who is the supervisor on the day?
  • How will staff get back to the city late at night?

Money and paperwork

  • What exactly is included in the per-plate price: plates, cutlery, water, staff, transport?
  • How much is the advance, when is the balance due, and what is your cancellation rule?
  • Will you give a written quote and a final bill?

A simple planning timeline

WhenWhat to do
3–4 weeks beforeBook the farmhouse; confirm outside catering is allowed
2–3 weeks beforeShortlist caterers, compare quotes, do a tasting if possible
1–2 weeks beforeConfirm menu, head count and arrival time; share host's rules
2–3 days beforeFinal head count; share pin and host's number with the caterer
On the dayOne person in your group handles the caterer; nobody else gives instructions

For festival weekends and the wedding season, book both farmhouse and caterer earlier. Our post on long weekend booking explains why dates fill quickly.

Things people forget

  • Timings: many farmhouses have an outdoor music cut-off, and dinner needs to fit around it. Serve earlier rather than later.
  • Pool safety: buffet glassware and plates should stay well away from the pool. Many farmhouses ban glass near the water.
  • Drinking water: confirm who provides it and how much.
  • Waste: agree who takes away leftovers, oil and rubbish. Leaving it behind may affect the deposit at farmhouses that collect one.
  • Alcohol: if drinks are served, the host's rules apply, and events serving alcohol may need permissions under local rules. Arrange designated drivers or cabs; never drink and drive.
  • Extra guests: farmhouse prices cover a set number of guests, and extra guests are charged per person. Caterer staff may or may not count, so ask.

On the day: a short handover routine

Most catering problems on the day come from confusion about who decides what. A simple routine prevents that:

  1. When the caterer arrives, introduce their supervisor to the farmhouse caretaker, so they sort out power points, water and kitchen use directly.
  2. Walk the supervisor through the space: where the buffet goes, where the live counter goes, where guests will sit and which areas are off limits, such as the pool deck and bedrooms.
  3. Confirm the serving time once more, along with the head count and any special plates for elders, children or guests with allergies.
  4. Agree on a pack-up time that fits the farmhouse's rules on music and vendor exit.
  5. Before the caterer leaves, check the kitchen and lawn together and settle the balance only after that.

Keep the caterer's and the host's numbers saved on two phones in your group, in case one person is busy cutting a cake when a question comes up.

Caterer or farmhouse package?

Some farmhouses offer their own meal packages, priced separately. They know the kitchen and the routine, which removes a lot of coordination. An outside caterer gives you more menu choice and is often better for larger events. For a small birthday, a farmhouse package or a simple home-cooked spread may be enough; for an engagement or a big office party, a caterer is usually the safer bet. If you want a vegetarian spread, our vegetarian menu for a farmhouse party has ideas to share with them.

Frequently asked questions

Can I bring an outside caterer to a Moinabad farmhouse?

Many farmhouses allow it, but some prefer their own meal packages. Check the listing or ask the host on WhatsApp before you hire anyone.

How early should a caterer arrive for a farmhouse party?

Usually a couple of hours before serving, but confirm the host's vendor entry time and how long the caterer needs to set up.

Do caterer staff count towards the farmhouse guest limit?

It depends on the farmhouse. Ask the host whether staff and vendors count towards the guest cap or extra-guest charges.

What should be included in a caterer's quote?

Ask for a written quote listing food, staff, plates, cutlery, water, transport, live counters and clean-up, plus the advance and cancellation terms.
