A run-sheet for a colleague's farewell at a private Moinabad farmhouse: the shape of the day, the bits that need prep, including remote teammates and sorting the booking as a work group.
A team farewell at a Moinabad farmhouse is about one person, which makes it different from an offsite or a quarterly party. The farmhouse gives you time, a lawn, a pool and privacy; your job as organiser is to use that to send a colleague off with a day that is about them and not about the venue. This post is a run-sheet and a prep list, written for the teammate who volunteered to organise it.
It assumes a team of eight to thirty, a Hyderabad office somewhere on the west side, and a colleague who is leaving within the next few weeks.
Decide the shape before you book
Four questions settle most of the plan:
- Surprise or not? A surprise is lovely but needs one trusted person to get the colleague into a car on a pretext. If the person hates surprises, tell them and let them bring their partner.
- Day or evening? A Saturday day outing from late morning to sunset is the simplest and the safest for driving. A Friday evening after work is possible but runs into Friday-evening traffic on the ORR and dark village roads on arrival.
- Who pays? Some teams pool a per-head contribution with the leaving colleague excluded; some get a budget from the manager. Decide this before you collect a rupee.
- How many? Farmhouse prices cover a set number of guests with extra guests charged per person, and every farmhouse has a cap. Get a firm headcount with partners and children included.
Day bookings at most farmhouses run from early afternoon or late morning to early evening, but check-in and check-out times vary, so confirm them on the farmhouse page or on WhatsApp before you tell the team a time.

The run-sheet
- 11:00 – organisers arrive first, meet the caretaker, set up the memory wall and the lunch table.
- 11:45 – the team arrives; the colleague arrives last if it is a surprise.
- 12:00 to 1:30 – pool, box cricket, badminton, nothing structured. Let people talk.
- 1:30 – lunch together at one long table on the lawn or veranda.
- 2:30 – the slideshow, then speeches, then the roast if the colleague is the sort who enjoys one.
- 3:15 – gift and card, group photo in the orchard while the light is still good.
- 3:30 to 5:30 – second pool session, games, chai, the long conversations that are the actual point.
- 6:00 – cars leave while the village road is still in daylight.
The formal section is forty-five minutes at most. Everything either side of it is unstructured on purpose.
The bits that need preparation
The memory wall
A string across a veranda with printed photos pegged to it, plus blank cards and pens so people add notes through the day. Print the photos in the city the day before; there is nowhere near the farmhouses to do it. Ask the host before taping anything to walls, as decoration rules differ by property.
The slideshow
Collect photos in a shared folder two weeks ahead, with a hard deadline. Keep it to six or seven minutes. Play it on a laptop with a speaker, or a projector if someone owns one; do not count on the farmhouse having a screen. Download it; do not stream it, because Wi-Fi and phone signal vary by farmhouse.
Speeches
Three to five people, two minutes each, chosen in advance. Give the manager the last slot. Open the floor afterwards for anyone who wants to add a line, and have a clear closer so it does not drift.
The roast
Only if the colleague would enjoy it. Keep it to work stories, keep it kind, and run the list past one person who knows them well.
The gift
Something for the next chapter rather than a trophy: a book for the new city, a good bag, a framed team photo signed by everyone. Buy it before the day; the small shops near the farmhouses do not stock gifts.
Including the remote teammates
Teams are rarely in one place anymore. Plan for a short video call during the speeches, but treat it as a bonus rather than a certainty. Ask the host which mobile network works best at the property, test the call on arrival, and keep it short. A better approach is to have remote colleagues record thirty-second video messages beforehand and drop them into the slideshow, which needs no signal at all.
Food and drinks for a farewell
Lunch is one order, delivered hot at 1:15, from a city caterer who has the exact location pin, or a farmhouse that can arrange a cook. Have the leaving colleague's favourite dish on the table; it is a small thing people notice. Carry snacks for the afternoon, plenty of water, ice and a cake if you like one. If the team drinks, the host's rules come first, drivers abstain, and it stays away from the pool. Outside-food rules and kitchen access differ by farmhouse, so check the listing.
Booking as a work group
| Detail | What to do |
|---|---|
| ID proof | Every adult carries a government photo ID; farmhouses usually ask for it at check-in |
| Deposit | Some farmhouses take a refundable deposit; decide who pays it and who receives the refund |
| Invoice | If the company is paying, ask on WhatsApp what paperwork the farmhouse can provide |
| Headcount | Keep it under the listed cap; confirm partners and children in the request |
| Music | Outdoor speakers usually allowed until a set evening hour; irrelevant for a day outing but check anyway |
Start with the farmhouses for corporate outings in Moinabad, and if the group is small, a 3 BHK farmhouse is usually plenty for a day outing. For a larger team, the large-group farmhouses list is the right filter. Our post on farewell parties at Moinabad farmhouses covers the party side in more detail, and solo organiser stress is worth a read if you are doing all of this alone.
Timing it with the notice period
Hold the farewell on the last weekend before the colleague's final day, not after they have left; attendance and energy are both higher. Weekday day outings cost less than Saturday if the team can take a half day, and the Moinabad farmhouse price list shows how the dates compare. Browse the farmhouses, pick the date to see live availability and the full price, and book online or send a booking request and confirm on WhatsApp. Then start collecting photos.

Frequently asked questions
How long should we book a farmhouse for a team farewell?
A day outing of six to eight hours is enough for lunch, speeches, games and pool time, and avoids night driving. Check-in and check-out times for day bookings vary by farmhouse, so confirm them before announcing a time.
Can the company get an invoice for a farmhouse booking?
Ask the farmhouse on WhatsApp what paperwork it can provide before you book. This differs by property, so do not assume a particular format will be available.
Can we hang photos and decorations at the farmhouse?
Decoration rules differ by farmhouse. Many allow string lights and pegged photos but not tape or nails on walls. Check the house rules on the listing and ask the host if unsure.
Will a video call with remote colleagues work from a farmhouse?
Sometimes. Phone signal and Wi-Fi vary by farmhouse, so ask the host which network works best, test on arrival and have remote teammates record video messages in advance as a backup.
