The First Hour at Your Moinabad Farmhouse: A Checklist

· 5 min read· by Moinabad Farmhouses Team

The farmhouse at APR Botanica, Amdapur, Moinabad

What you do in the first hour after reaching a Moinabad farmhouse decides how smooth the rest of the stay feels. A practical checklist.

The first hour at your Moinabad farmhouse should go like this: finish check-in with IDs ready, walk the property with the caretaker, photograph anything already damaged, sort out the pool and child safety, assign rooms, unload food into the kitchen, and confirm the house rules on music and timings. It takes less than an hour, and it heads off nearly every problem that groups run into later.

Here is that checklist, step by step, so you can hand it to whoever reaches first.

Before you even turn off the Chevella road

The first hour really starts in the car. Many farmhouses sit a few kilometres off the main road, down village roads that can be confusing. Share the exact location pin with every car, keep the caretaker's number handy, and call when you are ten minutes away so the gate is open. Our post on parking, gates and the last kilometre covers that final stretch in detail, and the route guide covers the drive itself.

Minutes 0–10: check-in

  • IDs ready. Usually a government photo ID is needed for every adult. Collect them in the car so you are not hunting through bags at the gate.
  • Booking confirmation. Keep the confirmation on your phone, with the amount paid and any balance due.
  • Guest count. Confirm the number with the caretaker. The price covers a set number of guests, and extra guests are charged per person; settle any change now, not at checkout.
  • Deposit. Some farmhouses take a refundable deposit. Know how it is returned and when.

Minutes 10–20: the walkthrough

Ask the caretaker to show you around. It is not rude; it is how good stays begin. Cover:

AreaWhat to check or ask
BedroomsAC working, remotes present, bathrooms have water and lights
KitchenGas on, fridge cold, which vessels you may use
PoolDepth, any shallow or kids' section, timings, what to wear
PowerWhether there is backup, and what it covers
Wi-FiNetwork name and password, where signal is best
OutdoorsBox cricket, lawn lights, barbecue, bonfire spot
ContactCaretaker's number and when they are on site

Minutes 20–25: photos and a quick note

Walk through with your phone and record a short video: furniture, bathroom fittings, pool edges, any visible cracks or stains. If something is already broken, point it out to the caretaker and send a quick WhatsApp message to the booking team. This protects your deposit and avoids awkward conversations at the end. Minutes 25–35: pool and child safety

Excitement peaks the moment kids see the water. Before anyone jumps in:

  1. Agree on a "pool watcher" rota among adults. One person at a time, phone down.
  2. Show children where the shallow part ends.
  3. Move glass bottles away from the pool; many farmhouses require it anyway.
  4. Check that the gate or door to the pool area, if any, closes properly.
  5. Put floats, towels and sunscreen in one corner so the deck is not cluttered.

Minutes 35–45: rooms and bags

Room allocation can become a surprisingly emotional topic. Settle it before arrival if you can; if not, a simple rule helps: elders and families with babies get ground-floor rooms nearest bathrooms, couples next, and friends share the rest. Get bags off the lawn and into rooms, so the common areas stay clear.

Minutes 45–55: kitchen and food

  • Move perishables, curd, marinated meat and ice cream into the fridge first.
  • Keep the drinks cooler in shade.
  • Put dry snacks somewhere the kids can reach without wandering into the kitchen while someone is cooking.
  • Note what is missing, such as a ladle, a big vessel or salt, and send one person on a single shop run if needed. Shops nearby are small, so do it once, early.

Minutes 55–60: the house rules huddle

Take two minutes to gather everyone and share the essentials. House rules vary by farmhouse, but usually include:

  • Outdoor music allowed until a set time in the evening, then indoors only
  • No glass near the pool
  • Rules on alcohol, outside guests and decorations
  • Checkout time and what "leaving it tidy" means

Mention who the sober drivers are if anyone is heading back tonight. Then go and enjoy it.

If you arrive in two waves

Large groups rarely arrive together. Someone leaves Gachibowli early and takes the ORR; another car comes through Mehdipatnam and gets held up near Langar Houz. Make the first car the "advance team". They handle check-in, the walkthrough and the photos, and pick rooms by the agreed rule. When later cars arrive, the advance team gives them a two-minute briefing at the gate: where to park, which room is theirs, where the pool rules are, and when lunch is. That way the latecomers do not undo all the careful setup by dumping bags on the lawn and diving straight in.

If the second wave will arrive after dark, the advance team should also switch on gate and driveway lights and stay reachable by phone, since village roads can be dark and the last turn is easy to miss.

Frequently asked questions

What do we need at check-in at a Moinabad farmhouse?

Usually a government photo ID for every adult and your booking confirmation. Some farmhouses also collect a refundable deposit; check your farmhouse page.

Should we take photos of the farmhouse when we arrive?

Yes. A quick set of photos or a short video of rooms and the pool area helps if there is ever a question about existing damage.

What if something is not working when we arrive?

Tell the caretaker straight away and message the booking team on WhatsApp, so it is on record early rather than at checkout.

Can we swim as soon as we arrive?

Usually yes once you have checked in, but walk around the pool first, check depth markings and agree who watches the children.
